Frequently Asked Questions for SPE Teachers

Question.: The name of the assessment I need is not located in the drop down box on the Eligibility Report. What do I do? 

Answer. Email Debbie with the name and description of the assessment. She can enter the assessment information in the box. 



Question: If a preschool student is referred, how do I create a student folder when they are not enrolled in school? 

Answer: A preschool student must be entered through District Enrollment (local school office) before you can create a student folder. 



Question.: A preschool referral is made before the student turns 3 years old. What do I do about forms? 

Answer: Go to the State Department website (alsde.edu) and print forms. (goto Sections, Special Education, Forms) It would be a good idea to print forms for EMERGENCIES ONLY!



Question: I know I have to enter the information in SETS when an eligible preschooler turns 3, but do I have to enter them if they are not eligible?

Answer: Yes, anytime a referral is completed, you must enter them in the computer. You will have to ask the office to enroll them first. Then, you can create a folder and complete the information in SETS. Don»t forget to ask the office to delete them after you have completed their SETS file. 



Question: If a new referral is eligible for services, do I open a new IEP process?

Answer: No, use the IEP in the Referral Process. You don»t need to open another process for an IEP.



Question: What will happen if I forget to change the status in a student»s folder? 

Answer: If the status is not changed from Referred to Active, the student will not appear on Child Count, which means we lose dollars! 



Question: How do I retrieve a student»s SETS file from another school within our system?

Answer: The transferring school must withdraw the student from District Enrollment and your school must enter the student in District Enrollment before you can get a file. When that is done, all you have to do is Select Student and the file should come up. Don»t forget to change the Status and Case Manager.
